The inventory check of trucks, which is required when drivers change or the truck goes into service, usually takes about an hour. The presence or the lack of all items assigned to the truck is established through that check. The process is very responsible because the lack of a certain document or device can lead to the inability to travel in a particular country or the EU or cause very high fines.

This process happens at least once a week, sometimes more often, and causes a great loss of time, respectively large costs. So, we developed a solution for truck stocktaking StoreIT-Truck, based on our warehouse management system StoreIT. The stocktaking process is carried out using RFID labels to mark the truck inventory.

What is the advantage of RFID technology?

RFID tags are labels or other data carriers that contain a unique number of every truck inventory item, which identifies it in the StoreIT database.

Unlike scanning with a barcode reader, the radio-based RFID scanning detects all tags in the range of the reader simultaneously. This process needs only one scan with the handheld device around the truck which takes one to a couple of minutes.

During the initial stocktaking, the relevant RFID labels are applied to all inventory items. Henceforth the tags are used to automatically identify the truck inventory items. Depending on the place of application, different RFID tags are used: paper labels, labels or tags for metal surfaces, tire tags etc.

Using the built-in camera of the handheld terminal, damages or irregularities on the truck can be documented and the pictures are automatically uploaded into the electronic archive of StoreIT, attached to the relevant stocktaking document and sent to the responsible people by e-mail.

For each truck in the fleet, as well as for equipment items such as fire extinguishers, insurances, certificates etc. events can be created with a due date. When reaching the due date, the responsible people are automatically notified. During stocktaking of a truck, the events, that reached their due date, also pop up in a notification.

The system can be integrated with ERP and telematics systems, which enables it to automatically record mileage, consumption, and amount of fuel.

What do you need for starting work with StoreIT-Truck?

For the implementation of this solution, you need:

  1. To ensure the hardware:
    1.1Provide a server – a Linux based virtual machine with 4 processor cores, 8GB RAM and 500 GB disk space is sufficient for the database and application server.
    1.2 Purchase mobile terminals with RFID readers.
    1.3 Purchase an RFID label printer.
    1.4 Purchase RFID labels and tags for marking the truck inventory items.
    1.5 Optionally purchase RFID tags for the tires of the trucks. Some tires are manufactured with a built-in tag, that only must be registered with the handheld terminal.
